Ledgerly Enterprise Billing Platform

A usage-based billing engine for enterprise contracts, built under NDA and never shown publicly.

The Challenge

Ledgerly's finance team ran usage-based billing for enterprise contracts off spreadsheets, reconciled by hand against a homegrown metering system. Every contract carried its own terms, tiered pricing, overage rules, custom SLAs, so reconciliation errors were routine and disputes with clients took weeks to resolve. Because the platform touches live customer contract data in a regulated fintech context, the entire engagement fell under a strict NDA that keeps the company name and any demo off our public site. What follows describes the build and the results, without naming who it was built for.

Ledgerly's finance team ran usage-based billing for enterprise contracts off spreadsheets, reconciled by hand against a homegrown metering system.

Overview

This client runs enterprise billing in a regulated fintech environment, where every contract has bespoke pricing and every invoice has to survive a compliance review. Their existing process worked at a small scale and broke down the moment contract terms started varying meaningfully from one customer to the next.

A Note on Confidentiality

Because this platform processes live customer contract and billing data in a regulated industry, the engagement is covered by a non-disclosure agreement that keeps the client's name, and any working demo, out of our public case studies. We are able to describe the architecture and share the results; we cannot point to it directly.

Config-Driven Pricing

Contract terms, tiers, overage thresholds, custom SLAs, live as configuration records rather than hardcoded logic. When finance negotiates a new structure with a customer, they define it in the platform directly. What used to require an engineering sprint now takes an afternoon.

Metering Reconciliation

Usage events flow in from the client's metering system and reconcile automatically against what each contract's terms say should be billed. Discrepancies surface immediately instead of at month-end, which is when the old spreadsheet process used to catch them, if it caught them at all.

Audit Trail

Every billing calculation writes a full audit record: the usage data it drew from, the contract terms it applied, and the resulting invoice line. When a customer disputes a charge, or a regulator asks how a number was reached, the answer is a lookup, not a reconstruction project.

Results

Reconciliation time fell by roughly ninety percent and billing disputes dropped by more than three-quarters in the first two quarters after launch. Finance now owns pricing changes end to end without waiting on engineering. It is, by a wide margin, one of the most complex systems we have shipped, even though we cannot show it to you.

Outcomes and Metrics

Reconciliation time dropped by roughly ninety percent, and billing disputes fell by over three-quarters within the first two quarters live. Finance can now stand up a new contract structure entirely through configuration, no engineering involvement required. Under the terms of the NDA, this project carries no public link and no visible client name, but it remains one of the more architecturally demanding systems in our portfolio.

-90%

Reconciliation Time

Reduction in time to reconcile usage data against billed amounts each cycle.

-76%

Billing Disputes

Fewer client billing disputes within the first two quarters live.

New Pricing Tiers

Finance launches new contract structures without an engineering ticket.

100%

Audit Coverage

Of billing calculations traceable end to end for disputes and compliance review.

Engagement Process

Every Devyst engagement follows a structured process: discovery, architecture, build, and handoff. This project was no different. We aligned on scope, reviewed existing systems, delivered iteratively, and handed off with documentation and runbooks.

Client Feedback

“

We used to dread reconciliation week. Now the numbers agree before anyone has to look, and when a customer does dispute a charge, we can answer it in minutes instead of days.
